E-Mail Policy

Thank you for taking the time to read my e-mail policy. I hope you will find this useful in understanding what is and is not feasible for e-mail correspondence. This policy has been created to best balance your needs as constituents and the resource limitations of my office. To send me an e-mail message, please use my web form.

Why do I use a web form for e-mail correspondence?

The increased usage of e-mail to contact my office has made my old e-mail address infeasible for future use. Incomplete postal addresses, anonymous e-mails, and spam have made it increasingly difficult to respond to North Dakotans in a timely manner. I fear that without this change, e-mails from North Dakota will get lost among the thousands of out-of-state e-mails, and I will inadvertently fail to respond to many North Dakotans. Responding to North Dakotans is my top priority and using the web form will help me to continue to do so. Using a web form reduces the resources needed to process e-mail by putting all necessary information into a standardized format and places your correspondence directly into our correspondence system. Using this web form will help me to devote more resources to answering your correspondence.

Why do I only respond to North Dakotans?

All messages received by my office are read. However, keep in mind that my office receives hundreds if not thousands of faxes, phone calls, e-mails and letters from all over the world on a daily basis. Responding to each is impossible due to staff and resource limitations. These limitations allow me to respond only to North Dakotans and people with ties to North Dakota, with a few exceptions. These exceptions include helping students requesting information for school projects or looking for general information about North Dakota.

Why am I required to give my postal address?

Because of the above limitations, I need your postal address to verify that you are from North Dakota. I also need a postal address because my mail tracking system requires a valid postal address so I can keep a record of my response. In addition, I only respond via postal mail to ensure the privacy of your correspondence.

How long will it take to receive a response?

As a goal, I try to reply to correspondence within 10 days of its receipt in my office, but this can be delayed due to the total volume of correspondence I receive, the amount of research needed to respond to your message as well as other factors. All of these factors may mean your response can take longer than you may anticipate. In addition, ever since Senator Daschle received mail containing anthrax, all incoming postal mail must undergo irradiation. This process can delay incoming mail by 1-3 weeks.
